Cancellation and Refund Policy for Explore Green Africa Safaris

At Explore Green Africa Safaris, we understand that sometimes plans can change unexpectedly. Our cancellation and refund policy is designed to be fair and transparent, ensuring that both our guests and our business partners are protected. Below are the details of our policies regarding cancellations, refunds, and changes to your safari bookings.

1. Cancellation Policy

1.1 Cancellation by the Traveler

  • 60+ Days Before Departure: If you cancel your safari more than 60 days before the scheduled departure date, you will receive a full refund of the deposit, minus a processing fee of 10% of the total booking amount.
  • 30-59 Days Before Departure: If you cancel between 30 and 59 days before departure, 50% of the total booking amount will be refunded.
  • 15-29 Days Before Departure: If you cancel between 15 and 29 days before departure, 25% of the total booking amount will be refunded.
  • 14 Days or Less Before Departure: Cancellations made 14 days or less before the departure date will not be eligible for a refund. The full payment amount will be retained.

1.2 Cancellation by Explore Green Africa Safaris In rare cases where we must cancel a safari due to unforeseen circumstances (e.g., natural disasters, political unrest, or other emergencies), we will offer you the choice of either:

  • A full refund of all payments made.
  • An alternative safari of similar value and experience.

2. Refund Policy

2.1 Refund Processing Refunds will be processed within 30 business days from the date of the cancellation request. All refunds will be made using the same method of payment used for the original booking, unless otherwise agreed upon.

2.2 Non-Refundable Costs Certain costs may be non-refundable, including:

  • Bank charges and transaction fees.
  • Costs related to visas, travel insurance, or flights.
  • Payments for services that have already been rendered or committed (e.g., special permits, custom arrangements).

3. Changes to Your Booking

3.1 Changes by the Traveler

  • Minor Changes: If you need to make minor changes to your booking (e.g., change of accommodation or minor itinerary adjustments), we will do our best to accommodate your request. Any additional costs incurred will be communicated and must be agreed upon before changes are made.
  • Major Changes: If you need to make significant changes (e.g., change of travel dates or major itinerary adjustments), these changes may be treated as a cancellation and rebooking, subject to the above cancellation policy.

3.2 Changes by Explore Green Africa Safaris While we strive to provide the safari exactly as described, sometimes changes may be necessary due to factors beyond our control (e.g., weather conditions, changes in local regulations, or safety concerns). In such cases:

  • We will notify you as soon as possible.
  • We will offer alternative arrangements that are as close as possible to the original itinerary.
  • If the changes significantly alter the nature of your safari, you may choose to accept the changes or request a refund.

4. No-Show Policy

If you fail to arrive for your safari without prior notice (“no-show”), the full payment will be retained, and no refund will be issued. This policy also applies if you arrive late and miss part of the safari.

5. Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance that covers trip cancellations, interruptions, medical expenses, and personal belongings. This will provide you with peace of mind and financial protection in case you need to cancel or alter your travel plans.

6. Force Majeure

Explore Green Africa Safaris cannot be held responsible for cancellations or changes to your booking due to events beyond our control (force majeure), such as natural disasters, pandemics, war, or political instability. In such cases, we will do our best to offer alternative arrangements or reschedule your safari, but refunds may not be possible.
